For the purposes of the GDPR we are the Data Controller for any PII that we collect.

2. Visitors to Our Website
Web Forms
There are two forms on the website that gather PII.
- The White Paper download form captures your name, company name, country, business email address, and your role within the company (position).
- If web site visitors sign up for our the ITEnterpriser newsletter we collect your email address.
The information you enter into these forms is not stored on the website. It is stored in databases held securely on our servers.
Cookies
To enrich and perfect your online experience, ITEnterpriser uses “Cookies”, similar technologies, and services provided by others to display personalized content, appropriate advertising, and to store your preferences on your computer.

People Who Email Us

Clients and Their Staff
In order for ITEnterpriser to fulfil its contract with Clients we must collect the personal details of some people within your business. The data collected can include your full name, business address, email address, business phone number, mobile number, and your position, role or title.
Sponsors
We collect information on sponsors so that we can manage the sponsor relationship and to record and manage the type of sponsorship in question. The data collected includes your full name, business address, email address, business phone number, mobile number, and your position, role or title. Details of the sponsorship are also recorded.
Staff
If you are employed by ITEnterpriser, we will collect and process your name, address, phone number, mobile number, age, gender, national insurance number or other identification number, bank details and any other information for which we have a legal obligation or a legitimate interest in doing, such as taking up references or performing background checks.
Freelancers
If you are a Freelancer contracted to work for ITEnterpriser, we will collect and process your name, address, phone number, mobile number, age, gender, national insurance number or other identification number, bank details and any other information for which we have a legal obligation or a legitimate interest in doing, such as taking up references or performing background checks.
4. How We use Your Data
We use your PII to:
- Fulfil our contract with Clients and Sponsors, in the delivery of advertising, contracted articles, white papers, one sheets and other services we may provide to them.
- Fulfil our contract with Staff, Freelancers, Clients, and Sponsors.
- To notify you about changes to ITEnterpriser’s services, terms and conditions, or this Privacy Policy.
- To send consenting subscribers the ITEnterpriser newsletter.
5. Our Lawful Basis for Processing Personal Data
To govern and manage the business, and to organize and fulfil our contracts with Clients, Staff, Freelancers, and Sponsors, we will collect and process personally identifiable information as detailed in the section above, titled The Personal Data We Collect. Our lawful bases for storing, processing and transmitting this personal data are described below.
Governance of the Business
To administer and manage the business, the personal data of Staff and Freelancers must be stored and processed. Our lawful bases for this under GDPR are Article 6(1)(b) (Contract clause), Article 6(1)(f) (Legitimate Interest clause).
Fulfilling Contracts With Clients
To fulfil our contracts with Clients the personal data of Clients and Sponsors must be stored and processed. Our lawful bases for this under GDPR are Article 6(1)(b) (Contract clause), Article 6(1)(f) (Legitimate Interest clause), Article 6(1)(c) (Legal obligation clause).
Handling Questions
We provide various email addresses (contact@, press@, sales@) to allow website visitors to ask us questions about our services. When we respond to the enquiry we will use your email address to email back to you. We have a legitimate interest to allow us to gather and reply to questions about our services. Our lawful basis for this under GDPR is Article 6(1)(f) (Legitimate Interest clause).
Handling Complaints
To answer queries or complaints we will collect and process the contact details of the person raising the complaint, and records of their interactions with us. We have a legitimate interest to provide complaint handling services to customers. Our lawful basis for this under GDPR is Article 6(1)(f) (Legitimate Interest clause).
Legal Obligation
We may share your personal data with the police, law enforcement, and security services to assist with the investigation and prevention of crime and the protection of national security. Our lawful basis for this under GDPR is Article 6(1)(c) (Legal obligation clause).
6. Use of Data Processors
Data processors are third parties who provide services to ITEnterpriser.
MailChimp
We use the MailChimp emailing and marketing platform. You can see their Privacy Policy here.
MailChimp are a US based company. MailChimp complies with the U.S. Privacy Shield Framework and the Swiss U.S. Privacy Shield Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information transferred from the European Union and Switzerland to the United States, respectively.
Hardware Suppliers
When you choose to download a white paper, your details are passed to the manufacturer of that hardware. They may contact you for marketing purposes. If you wish to opt-out of such contacts, let the individual manufacturer know.
7. Where We Will Store Your Data
All information you provide to us is stored in our own secure systems, in Japan. Japan has a full adequacy agreement in place with the EU regarding data protection. You can review it here.
8. How Long is the Information Retained For?
- Financial and employment records are retained for the minimum legal obligation that is placed on ITEnterpriser. Currently this is six years.
- Clients’ personal data is retained for five years after your last completed project with ITEnterpriser.
- Sponsors’ personal data is retained for five years after your last interaction with ITEnterpriser.
9. Your Rights
Under the General Data Protection Regulation (EU 2016/679) (GDPR), you have rights as an individual which you can exercise in relation to the PII we hold about you. The GDPR provides the following rights for data subjects:

ITEnterpriser tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. 12. Data Breaches
In the unlikely event of a Personal Data Breach that is likely to result in a high risk to your rights, ITEnterpriser will notify you of the breach without undue delay. However, if your Personal Data is encrypted or otherwise rendered unintelligible ITEnterpriser will not be required to notify you of a breach because your data will not have been exposed.
